Developing a Registry Training Framework

BACKGROUND:
The registry training framework was established in response to a need. It was identified that regions had varying degrees of experience recruiting and enrolling new providers, particularly private sector physician offices. While a few regions had experienced staff trainers, others were just beginning to approach private sector offices. Moreover, no guidelines were available to establish what information must be conveyed during a training leaving many new trainers to just “figure it out.”

OBJECTIVE:
To develop a standard core curriculum or “framework” for regional registry staff who train new users to use the registry. This in turn, would be used as the centerpiece of a Train-the-Trainer workshop developed for registry staff.

METHOD:
Information was gathered by observing a training session in an experienced region and preparing a draft framework for review. The draft was shared with a statewide committee representing each of the existing regional registries. Feedback, ideas and contributions were received and the committee discussed the framework at several meetings.

RESULT:
The result is the development of the Registry Training Framework, a document which incorporates real-world experience and takes into account regional variations. The framework is designed to be generic so that it does not pertain to any particular registry software application but instead covers common territory such as preparing for the training, customer service, scheduling, administrative procedures like disclosure, core registry features, and follow-up strategies.

CONCLUSION:
The collaborative process in developing this framework has enabled us to develop a tool that is easy-to-use and adaptable but which establishes a consistent training curriculum for any new registry user, regardless of which region or registry application. The framework will also provide a guide to future registry trainers, as staff turn over and as additional counties join the registry effort and enroll new health care providers.

LEARNING OBJECTIVES:
Participants will learn the process of developing California’s registry training framework and will be introduced to the key concepts used which form the basis of framework as well as how the information was disseminated to registry trainers.
