Provider Management Database Facilitates Provider Enrollment and Program Evaluation

BACKGROUND:
The Riverside County Immunization Registry set a goal to enroll 100% of its more than 300 eligible private providers within four years. To achieve this goal, a Provider Management Database (PMDB) was developed. Its purpose was to organize a high volume of provider information, provide a reliable follow-up system, and serve as a program evaluation tool.

OBJECTIVE:
To illustrate how a PMDB accelerates provider enrollment, facilitates long-term retention, and serves as a tool for program and staff evaluation.

METHOD:
The PMDB was designed to capture all relevant provider data including contact information, enrollment status, physician and user names, follow-up notes, and Help Desk history. The Outreach Planner tool accelerates provider enrollment by enabling rapid identification of non-enrolled providers in a specified city. The Clinic Profile report displays all provider data at-a-glance, and serves as the basis for a follow-up reminder system. Other features include Help Desk call tracking, committee management, mailing label generation, and more than 30 reports for program and staff evaluation.

RESULT:
The PMDB has enabled registry staff to enroll 33% of eligible private providers during its first year. At the current rate, we expect to reach our goal of 100% eligible private provider enrollment within four years of beginning recruitment. The PMDB has been distributed throughout California to assist other regional registries with provider management and program evaluation.

CONCLUSION:
The PMDB is an excellent tool for accelerating provider enrollment, facilitating long-term retention, and providing data for program and staff evaluation.
