BACKGROUND:
In November 2003, the PA-SIIS and immunization program office staff began discussions of how to effectively use the registry in order to streamline inventory management efforts. Monthly conference calls were initiated to prepare and inform current SIIS users of this process.
OBJECTIVE:
* To simplify the vaccine ordering process by standardizing vaccine titles.
* To minimize data entry errors by designating central registry staff to enter inventory data.
* To provide notification to facilities when physical shipments leave the Program Office.
* To reduce facility workload by providing the Program Office with various inventory reports.
METHOD:
Central registry staff created a contact list for individuals responsible for inventory at each facility. All facilities took a complete inventory count on December 31, 2003, and submitted the data to central registry staff. The program office provided registry staff with a count of the inventory within the Biological Room. Central registry staff loaded all of the inventory data into SIIS on January 2, 2004.
RESULT:
The process was implemented to a pilot group of facilities on January 2, 2004. The remaining facilities were phased in on June 7, 2004. There were minor issues that surfaced throughout the process of implementation, but overall, the project was successful in that all goals were met.
CONCLUSION:
This project showed that a central immunization registry can be used effectively to streamline the inventory management process.
