Provider Retention Strategies

BACKGROUND:
VaxTrack contains children 0-18 years of age in San Bernardino and Riverside Counties in southern California in a population based registry. Private and public immunization providers enter data in VaxTrack. As of July 2004 VaxTrack contained over 780,000 children’s records with 57% containing immunizations for an average of 9.9 immunizations per record. In the 0-2 year old group 40% of the records have immunizations. This percentage increases to 48% in the 0-5 year old group.
VaxTrack has successfully recruited more than 270 organizations to participate actively in the registry. However circumstances change and more effort is required to retain providers in active participation.

OBJECTIVE:
VaxTrack sought to discern methods to keep providers using the registry routinely in daily immunization practice.

METHOD:
Recruiting providers to VaxTrack was just the first step in making a mature successful registry. Staff identified provider staff turnover, economic forces, changing provider needs and time commitments as factors, which led to diminution in participation. Staff worked with providers, re-enrolled and trained providers and studied factors to help build participation.

RESULT:
Elements to keep providers active include data queries to assess provider and individual participation and schedule intervention before a provider is lost, integration of registry in provider practice, recognition of registry benefits and positioning VaxTrack as a tool to improve practices through use of registry data in ongoing QA activities.

CONCLUSION:
Registries need to be prepared to retain providers or there will be a diminution of participation over time. Successful strategies can bring providers back or continue interest by integrating registry into common immunization practices.
