BACKGROUND:
Since 1998, Partners In Health Systems has managed and maintained regional registries across Upstate New York. Registries, in order to meet the goals of public health and healthcare, need to become more then data collectors in an office, they need to be recognized as an integral part of immunization delivery. In order for this to happen, sites need to be educated and motivated to become fully operational, not just collecting data but using it for their own immunization decision making process.
OBJECTIVE:
Develop a model that identifies different stages of registry usage that can effectively monitor the progress of each office. This will help guide offices and registry staff to reach the milestones bringing them to the next stage and eventually become fully operational.
METHOD:
All disciplines of the registry team collaboratively developed a stage model outlining certain criteria for different levels of usage. We evaluated current offices to realign them within this new model and determined what steps were needed in order to help advance them to the next stage. These steps included, care calls, campaigns, training, site visits, and user meetings.
RESULT:
The registry staff has been able to more accurately define where offices stand in the process of becoming operational. This allows for more efficient allocation of resources targeting areas that can be improved to bring the site to operational status.
CONCLUSION:
As offices reach each stage growing closer to using the registry to its utmost functionality, it is apparent the value it brings to the office and to the goal of the registry.
LEARNING OBJECTIVES:
To share a model that will effectively help registry staff monitor progress and what needs to be done in order for offices to become fully operational.
