Registry Training Methodology

Susan Anderson, Katie Reed, Amanda Smith, David Pringle, and Justin Jones. Partners In Health Systems, PO Box 249, 5789 Widewaters Parkway, Dewitt, NY, USA

BACKGROUND:
Since 1998 Partners in Health Systems has managed and maintained regional registries across Upstate New York. As registry usage and participation increases and functionality evolves, training needs to become more efficient and streamlined yet at the same time understandable for all levels of end users. These methods of training are imperative to bring a site from newly installed to fully operational.

OBJECTIVE:
Develop training procedures and protocols that educate provider sites in a systematic approach to ensure registry usage, participation, and knowledge.

METHOD:
A successful fully operational site is a result of the expectations set at recruitment, training and follow up. During training, the emphasis is not only focused on the technical but also on full programmatic knowledge. Tiered training was developed based on input from all disciplines of the registry team. Although the process can be customized, we have a standard checklist of training points and supplemental materials utilized to ensure that all basic aspects of HealthyShot are covered and understood. Post- training follow up is conducted to determine the development of a new site and subsequent trainings are offered as the office implements the registry into their day to day routine.

RESULT:
In the end a dual outcome resulted from our training procedures. The registry team gained insight into the provider world realizing what it takes to bring a site from new to operational. Secondly, the training approach allows for a deeper understanding of registry benefits within the medical community and a willingness to take ownership of their data.

CONCLUSION:
Training procedures need to be evaluated to ensure effectiveness.

LEARNING OBJECTIVES:
To share methods that can be used to help users comprehend and utilize registry features.
