It's All in the Family: Integrating County Data Systems and a Registry

BACKGROUND:
Similar to other localities San Diego County Health and Human Services Agency developed an electronic client information system –the Public Health Information System (PHIS) to facilitate case coordination and billing for service delivery. County staff must log into the PHIS and the San Diego Regional Immunization Registry (SDIR) to enter client information and immunizations.

OBJECTIVE:
Reduce staff time for data entry of demographic information in the PHIS and the SDIR by the development of a real-time electronic interface.

METHOD:
The County committed to funding the planning, code development and testing. Planning meetings defined the appropriate programs, processes and data fields to transfer from PHIS to SDIR. HL-7 was used to design the exchange between the two systems.

RESULT:
The elimination of double data entry of demographic information into PHIS and SDIR. Staff now needs only to log into PHIS for the registration of patients who will be receiving immunizations and the information is automatically entered into SDIR.

CONCLUSION:
Efforts to reduce double-data entry are worthwhile investments since these technological solutions ensure that the data will be entered and accessible in the collaborating information systems.
