Quality Audits Benefit Registry and Healthcare Providers

Alisa L. Johnson, Immunization Services, Hennepin County Community Health, 525 Portland Avenue South, MC-L963, Minneapolis, USA

KEYWORD1:
data quality, audits

BACKGROUND:
ImmuLink, the Immunization Registry for the Twin Cities Metropolitan area, consolidates approximately 700,000 records and 5 million immunizations. Data is received through electronic billing files and hand entry. Audits are conducted to verify data and file quality.

OBJECTIVE:
To collaborate with providers to ensure an accurate, complete immunization registry.
To help participating providers improve clinic practice, capture lost revenue, address data entry issues, and stay abreast of changes in the immunization schedule.

METHOD:
ImmuLink reviews a random sample of medical charts by comparing submitted data to charts. Discrepancies are recorded and tabulated; potential clinical practice issues are noted. ImmuLink and clinic staff review audit results together and collaborate on data improvement needs.

RESULT:
Initial and periodic audits identified vaccines not entered, or entered incorrectly. Information is provided on possible lost revenue and vaccine administration practice issues. Accuracy and completeness are ensured for both providers and the registry.

CONCLUSION:
Audits ensure the registry contains high-quality and complete data. Participating providers appreciate information that helps them improve clinic practices, capture lost revenue, accurately and efficiently immunize patients and share information.
LEARNINGOBJECTIVES:
Describe how audits benefit participating providers and the registry by ensuring accurate and complete data and appropriate vaccine administration.
Reinforce the importance of public and private collaboration to ensure a comprehensive, effective and efficient registry.
