Building the Registry Community

BACKGROUND:
As a regional immunization registry evolves in its deployment, many challenges are faced in order to continue to meet the ongoing objectives. One of the largest challenges for any immunization registry is the evolution of a Registry Community. It is critical for the registry to become a tool for the community to make sure to include all stakeholders in its deployment. Thus, the Registry Community constitutes IAP contacts, nurses in private practice, school nurses, daycare administrators and many others. This diversity lends to the dynamic nature of the registry community. A strong communication infrastructure must exist to promote a continuous dialogue within this community.

OBJECTIVE:
Illustrate methods and processes that initiate the building and maintenance of the Registry Community. Through these methods and processes we are more readily able to assess, understand, and address the needs of the Registry Community we serve.

METHOD:
Strategic recruitment of stakeholders in the Registry Community as an ongoing and maintained activity. Determine when appropriate, registry initiatives to develop collaborative approaches to meeting immunization-tracking needs. Use of quarterly user meetings allow the user community to work collaboratively. The quarterly newsletter allows for updates, announcements, and highlight achievements

RESULT:
By engaging stakeholders, PHS has facilitated the creation of a Registry Community that has come to depend on one another to share a broad spectrum and volume of knowledge, problem solving, recognize one another's achievements and also to facilitate brain storming for improvement processes.

CONCLUSION:
Success of a registry depends 100% on its community of partners. Providing them with a forum and opportunities to collaborate ensures the success of the project.

LEARNING OBJECTIVES:
To better understand how to engage the stakeholders in the registry deployment. Thus, a Community that can provide a registry team with tools to improve processes, as well as increase use.
