BACKGROUND:
Ohio’s IMPACT Statewide Immunization Information System (SIIS) was introduced in February of 2001. Understanding that the value of the registry is measured by the quality of the data that it contains, the Ohio Department of Health (ODH) initiated the IMPACT SIIS Provider Recruitment and Training Project
OBJECTIVE:
Demonstrate how the use of a Contact Management System (CMS) is a vital tool to a successful registry marketing project.
METHOD:
To support the IMPACT SIIS Provider Recruitment and Training Project, a web-based CMS was developed to assist Ohio’s Recruitment & Training Outreach Team track, prioritize and analyze the State’s ongoing marketing efforts. The contact information, scheduling function and detailed activity is maintained in a centralized location allowing the ODH Immunization Program staff, VFC Representatives, Immunization Coalition members, the AAP, registry stakeholders, and contractor personnel to track the program’s progress. Through the use of Geographic Information System (GIS) technology, the staff can easily identify areas in need of contact as well as view users by various discriminators such as “Level of Usage”, “Level of Satisfaction”, and “Clinic Type” to name a few.
RESULT:
Using the CMS, the Outreach Team has been able to contact more that 1,500 health care providers throughout the State. The access to this tool provided a mechanism to provide a geographically dispersed staff with “real time” access to all elements of the Marketing and Recruitment program.
CONCLUSION:
Through the thorough documentation of all recruitment activities the Department of Health now has a tool that not only supports the activity but also helps drive the direction of this critical project.
