VFC Tracking Database

BACKGROUND:
HAL is an Access database created to track provider information for the Virginia Vaccines For Children (VVFC) program. It was designed to supplement the VACMAN program.

OBJECTIVE:
To organize and manage all data used in the VVFC program.

METHOD:
HAL’s is used to track provider compliance and provider AFIX rates. To do this, logged information includes membership contracts, quality assurance (QA) visits, vaccine holds, and provider memos. Because VVFC uses VACMAN to manage vaccine orders, we keep provider demographic data in VACMAN and import it into HAL weekly.

HAL provides statistics such as how many providers have received a QA review, which providers are due for their membership contract renewal, or which providers have vaccine holds, why and for how long. We have also begun to track accountability data in HAL as well as VACMAN. HAL tracks all communications regarding the accountability reports, such as when we faxed or called regarding the delinquency of their reports. We also track our staff and their assigned regions in the state. This allows us to distinguish which staff is assigned to each provider. We can print out a phone list of our staff and a membership list of our providers, including when their last QA visit was conducted and when they last renewed their membership contract.

RESULT:
HAL has enabled VVFC to increase our QA visits to over 95% of enrolled providers. We have increased our provider enrollment numbers because we can track the recruitment status of non-VVFC providers. Our storage and handling problems have decreased because of our ability to track the results from QA storage examinations.

CONCLUSION:
Because of the added efficiency HAL provides, VVFC is now able to meet federal grant goals and objectives.
