Implementation of a provider compliance campaign to influence compliance with VFC policy and procedures

BACKGROUND:
Research has not thoroughly investigated the influence of a medical provider compliance campaign to influence compliance of providers submission of monthly reports for a Vaccine For Children's program (VFC)

OBJECTIVE:
Wyoming's VFC program requires monthly reports (Temperature logs and Doses Administered) to be submitted by the 2nd working day of the month. Although, VFC requires providers to submit monthly reports by the second day of the month, compliance is poor. The purpose of this study is to investigate if a medical provider compliance campaign will increase compliance levels of VFC policy and procedures.

METHOD:
Wyoming's VFC Providers (n=152) applied to the VFC program in January and were instructed via information packet and agreed by signature that they will complete the monthly reports and submit them to the Wyoming Immunization office on the 2nd business day of the month. The number of providers sending in reports was tracked. Six months later in June, an informative letter about the compliance campaign was sent out reiterating the policy and procedures. On the seventh business day of July, if June's reports were not submitted, a non-compliance memo was sent to the providers. Non- Compliance memo's continued to be sent each month to the providers if they did not submit the reports by the 7th business day of the month. The number of providers sending reports was tracked.

RESULT:
There was a significant increase (32.5%) in the percentage of providers who sent the required documents when the compliances campaign was implemented (M=82.5%) when compared to the months when there was no compliance campaign (M=50.2%).

CONCLUSION:
The implementation of the provider compliance campaign, increased compliance.

LEARNING OBJECTIVES:
Sending reminder memos to providers who do not send in Temperature logs and Doses Administered reports will increase the number of required forms you will receive for the month.
