Data Exports to Registry: Managing Vendors, Dollars and Time

BACKGROUND:
West Viriginia Statewide Immunization Registry System was the recipient of grant dollars ear marked to pay for exports from private and public office billing systems. In three months time, multiple data exports from multiple vendors were developed and implemented.

OBJECTIVE:
1. Review process laid out to identify practices, vendors, obtain pricing and implement exports.
2. Review ways to communicate with providers and vendors.
3. Review pitfalls of working in tight time frame.
4. Discuss Lessons Learned
5. Present outcomes

METHOD:
Assessment of VFC providers and the volume of vaccines given annually; Assessment of provider offices to update information on billing vendors; Contact with sales force for billing vendors for pricing information; Working with technical staff to develop and test export; Implementing export; Follow-up enrollment (if needed) and training on Immunization Registry use.

RESULT:
Implementation of data export to registry in more than 250 offices at once.
Outcomes measuring # of new registry users, # of new immunization records, # of new vaccines administered, # of immunization histories completed as a result of new data, and level of provider satisfaction with the process.

CONCLUSION:
1. Development of mass data exports in a short time period, increases enrollment and participation in a state immunization registry but presents multiple challenges and opportunities.
2. Data exports motivate physicians to participate in registry.
