Automating Ordering through Registries

BACKGROUND:
As immunization registry technology evolves and processes become automated, more emphasis is put on electronic vaccine inventory tracking and monthly/annual reporting capabilities. Online vaccine ordering is an integral component of this tracking and reporting process that should be automated through the use of registry technology. Electronic vaccine ordering presents tremendous potential along with a number of considerations that must be addressed in order for these efforts to be successful.

OBJECTIVE:
1) Present the benefits and possible issues with the implementation of online vaccine ordering; 2) Discuss considerations that may affect the successful outcome of online ordering operations

METHOD:
With appropriate registry functionality, providers would have the ability to place orders online. The orders would then be transmitted to the State VFC Program, designated sub-depot, 3rd party shipper or potentially to the manufacturer. For state vaccine orders, this information could then be uploaded to VACMAN and transmitted to CDC. Potential also exists for information to flow from the state/shipper/manufacturer back to the provider and automatically populate provider vaccine inventory.

RESULT:
A number of issues should be considered prior to implementing online ordering including maintaining a paper process for providers not participating in the registry, implementing a system of checks/balances to deny excessive orders or adjust orders when needed, managing routine versus emergency orders, establishing manual versus benchmarked ordering, and operating an alternative process for varicella certification and ordering.

CONCLUSION:
Online vaccine ordering will save both providers and those receiving/processing orders substantial time, but consideration should be given to the issues and processes that may arise as a result of moving to an online, automated system.
